SurveyHub Progress Report: More Plan Types and Functionality

Planned for general availability in late 2024, SurveyHub is an online pre-submission workspace where land surveyors can assemble, validate and certify survey plan packages for submission to the Surveyor General or the Land Title Office through the Electronic Filing System (EFS).  SurveyHub provides a streamlined and integrated workflow that is user friendly, maximizes efficiency and minimizes duplicate data entry.

During the build phase, each pre-release version follows an iterative development process where survey plan types, improvements and new features are continually added. The majority of frequently submitted plan types, representing about half of the total, have now been enabled. SurveyHub currently allows for the preparation of Subdivision, Posting, Block Outline and Block Outline Posting, a variety of Reference and Explanatory plans, Statutory Right of Way, and Well Site survey plan types.

The goal is to make all plan types available for submission prior to extending to a wider customer audience. Future releases will include all types of Strata plans such as Building, Bare Land, Phased and Strata Amendments as well as Airspace, Land Act, Former IR, Coal Act and Mineral Tenure Act plan types. With limited crossover from one workflow to another, each plan type requires a certain level of customization as it is mapped out in SurveyHub to deliver an optimal preparation and filing experience.

Major features new to land surveyors include survey sites – a geospatial organization system that helps locate plans, the SurveyHub dashboard – the main landing page to access new, ongoing and past work, and dataset and legal plan version management using plan variations within SurveyHub. Auto-populated fields from the Land Title Register to reduce data entry errors, and comprehensive form and package validation highlights missing or incorrect information prior to certification will also be available.

Detailed training will be offered to land surveyors and their staff on these new concepts and all  SurveyHub features to ensure success in using the new platform.

Customer feedback is paramount to ensure the system works effectively and to generate further improvements.  Late last fall, a pilot group of land surveyors were invited to prepare a selection of plans for submission. This was the first time end-to-end workflows were run through in a live environment. In December, the pilot expanded and now includes 25 land surveyors who can submit plans in SurveyHub.

Preliminary feedback has been overwhelmingly positive. One participant noted that “SurveyHub is an outstanding new tool that will help us immensely! Kudos to the team!”

This spring, the pilot program will expand to include the hand-off from land surveyor to legal professional. A selection of land surveyors and legal professionals will work through the various steps to ensure a smooth workflow for collaboration between parties when a hand off is needed to complete a package registration.
